The short version: we collect what we need to build and run your AI receptionist and website. We record and transcribe calls so the system can answer questions and book appointments. We never sell your data, and we never share text-message opt-in information with anyone for marketing purposes. Reply STOP to any text to opt out.

1. Who we are
Compass Claw ("we," "us," or "our") is a business technology provider located at 420 Second Street, Portsmouth, Ohio 45662. We build and operate AI voice receptionists and websites for local businesses. You can reach us at support@compassclaw.com or (740) 831-3443.
This policy explains how we handle information on compassclaw.com (the "Site") and through the services we provide to our business clients (the "Services").
2. Information we collect
Information you give us
When you submit a form on this Site, request a demo, or contact us, we may collect:
- Your name
- Your email address
- Your phone number
- Your business name, industry, and service area
- Any details you choose to share about your project, such as call volume or average job value
Information collected automatically
Like most websites, our hosting provider may log standard technical information such as your IP address, browser type, referring page, and the pages you visit. This is used for security and to understand how the Site is used.
Information generated by the AI receptionist
When someone calls a phone number that we operate on behalf of a client, the system captures the content described in Section 3 below in order to answer the call, route it, and book appointments.
3. Call recording & transcription
This is the most important section, and the one most providers leave out. Our core service involves answering phone calls with an AI voice assistant. To do that, calls are recorded and transcribed.
When you call a number operated through our Services, we may:
- Record the audio of the call
- Transcribe the call into text using speech recognition
- Store a summary of what the caller wanted and whether an appointment was booked
- Store the caller's contact details provided during the call, such as name, phone number, and address
We use this information to answer the call, respond to the caller's request, book or route appointments, notify the business owner, and improve the accuracy of the service.
Consent and disclosure
Call recording laws vary by state. Some states require the consent of all parties on a call. Where required, calls handled by our Services are preceded by a recorded disclosure notifying the caller that the call is being recorded and handled by an automated assistant. If a caller does not consent, they may end the call and contact the business directly.
If you are a business using our Services, you are responsible for ensuring that call recording is lawful in your jurisdiction and that any disclosure we provide on your behalf is accurate and adequately displayed on your own website and phone system.
4. How we use your information
We use the information we collect to:
- Provide, operate, maintain, and improve the Services
- Build and configure your website and AI receptionist
- Respond to your inquiries and provide customer support
- Send you your requested information, proposals, and appointment confirmations by email or SMS
- Send service and account notifications
- Detect, prevent, and address fraud, abuse, or technical issues
- Comply with legal obligations
We do not sell your personal information, and we do not use the contents of your phone calls to advertise to you.
5. Text messaging & mobile information
Customers opt in only through the form at https://compassclaw.com/#calculator ("Where do we send your plan?"): they enter their mobile number and check the unchecked box beside this text: "By checking this box, I consent to receive transactional and appointment-related SMS text messages from Compass Claw at the phone number provided. Consent is not a condition of purchase. Msg & data rates may apply. Message frequency varies. Reply STOP to opt out or HELP for help. See our Privacy Policy and Terms of Service." The box is unchecked by default and is not required to submit the form or to purchase anything.
Message program
- Program: Compass Claw sends transactional and appointment-related messages relating to appointment scheduling, demo and consultation coordination, project and account updates, and responses to your inquiries.
- Message frequency: Message frequency varies depending on your interactions with us. We do not send recurring marketing blasts.
- Cost: Message and data rates may apply. Check your mobile plan for details.
- Opt-out: Reply STOP to any message to unsubscribe. You will receive one confirmation message and then no further texts.
- Help: Reply HELP for assistance, or email support@compassclaw.com.
- Carrier liability: Mobile carriers are not liable for delayed or undelivered messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
All of the categories described above exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties or affiliates under any circumstances.
Your consent to receive text messages is never a condition of purchasing any product or service. You may submit our forms, request a demo, and become a customer without agreeing to receive text messages.
6. Third parties & service providers
We do not sell, trade, or rent your personally identifiable information to anyone. We share information only with vendors who help us operate the Services, and only as much as they need to do their job. These providers are expected to keep the information confidential and to protect it. They fall into these categories:
- Cloud hosting and content delivery providers
- Voice, telephony, and AI speech-processing providers that handle calls and generate transcripts
- Email delivery and form-processing providers that deliver your submission to us
- Scheduling and calendar tools
- Analytics providers, where used
We may also disclose information if required by law, to respond to valid legal process, to protect the rights and safety of Compass Claw, our clients, or the public, or in connection with a merger or sale of assets.
If you are a business using our Services, information collected on calls handled for you is shared with you as your service provider relationship requires.
7. How long we keep data
We keep information for as long as it is needed for the purposes described in this policy or as required by law:
- Lead and inquiry data is kept while we are in contact with you and for a reasonable period afterward.
- Call recordings and transcripts are retained for a limited period to support appointment management, quality assurance, and dispute resolution, and are then deleted or de-identified. Retention periods may be configured per client.
- Consent records — including the fact, time, and version of any SMS consent you gave — are retained to demonstrate compliance.
8. Your choices & rights
You may contact us at any time to:
- Ask what personal information we hold about you
- Request a copy of it
- Request that we correct it
- Request that we delete it, where we are not required to retain it
- Withdraw your consent to receive text messages (reply STOP, or email us)
- Unsubscribe from our emails using the link in any email we send
Email support@compassclaw.com to make any of these requests. We will respond within a reasonable time.
9. Security
We use reasonable administrative, technical, and physical safeguards to protect the information we hold, including encryption in transit and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send sensitive information such as payment card numbers by email or through our website forms.
10. Children's privacy
Our Services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes will be communicated to active clients by email. Your continued use of the Site or Services after an update means you accept the revised policy.
